Organizing Thought of the Day

Enjoy a Simpler Tax Season
|
By now, you have likely filed your taxes, or you're getting ready to do so.
The tax deadline this year is Monday, April 18th, by the way.
How much stress did it cause to pull all of the information together? Were
papers scattered here and there in drawers or on the computer? Did you worry
you forgot something?
If you want to make the process easier next year, start organizing it now. You
will thank yourself next year.
We use this simple system, but it is only a suggestion. Modify it to make it
work for you.
1) Past Tax Years: We keep one
banker box
for each year, for the past 7
years, in one of our basement closets. They're lined up on shelves, in order by
year. Every year, we shred everything in the oldest box and discard that
paperwork.
2) Current Taxes: We have a drawer in our filing cabinet for files
needed for our current taxes, such as medical bills, utilities, charitable
contributions, and the like. Each
file folder
is labeled and we file papers in them daily, throughout the year.
3) Online Accounts: Since we bring our tax documents to our accountant,
we print anything she needs from our online accounts. These are also added to
the appropriate file folders.
4) Daily Record Keeping: We keep very good track of our income and
expenses using computer software. We like Quicken, but there are many programs
available. Every single evening, 365 days a year, we input any income or
expenses. This makes life easier for us and our accountant.
5) Ready for our Accountant: When it's tax time, we print any Quicken
reports we need, grab our file folders, and pay a visit to our accountant with
everything in hand.
6) The Day After Taxes Are Done: When our taxes are done, we remove the
papers from our file folders and transfer them, categorized, to
large (and labeled) envelopes.
Those envelopes are then placed in a banker box, labeled with the current year.
That's it. By the way, we haven't purchased a new banker box in years. We just
keep reusing the oldest one once it's empty.
By using this system, or something similar, next year you should have just
about everything conveniently filed where you can access it to do it yourself
or give it to your tax preparer. You can look at last year's preparation
as a guide to ensure you have everything.
Enjoy a simpler tax season.
P.S. Looking for a simple and effective way to get control of your paper chaos?
