  Organizing Thought of the Day

Ask Maria:
How Do You Organize Your Phone Book?

A GON Reader Asked:

I love receiving your daily newsletter. Sometimes when I have insomnia, I read them and find them comforting. Keep up the good work and thanks! My question is, 'How do you organize your phone book?' (Pardon the old term). I am computer-phobic and use a phone book. However, I find that I no longer have contact with many of the people in my book, or they are not in business anymore. In addition, I ran out of space under some letters of the alphabet. People have suggested using index cards or a Rolodex system (one for friends and one for businesses). Any suggestions? Thanks Maria!

Maria Gracia Responded:

Hi Mindy,

Awwwww...thank you! I'm so glad you're enjoying my newsletters. I'm glad you asked about organizing a phone book. Although some folks have gone fully digital these days, there's something special about going back to basics and using pen/pencil and paper. And that older method still works beautifully, sometimes even better than the newer digital options.

I want to recommend my Easy Organizer for your phone contacts. My newest version has a tool in it called 'Snail Mail, Email, Phone and Social Media.' It mimics the set up you're familiar with in a typical phone/address book, but includes extra lines for cell phone, email, etc. You indicate the letter of the person's last name in the upper right corner of the page, and then write each person's contact info.

When the person's contact information changes, you can remove the old page from your binder, reprint a new blank page, write in the new information, and insert this new page. Easy...and you can use this for personal and business purposes. Plus, the Easy Organizer allows you to contain all of your other bits of information in one binder, so it's multi-purpose.

If you decide to continue using a phone/address book, use a pencil (or erasable pen) so information can be erased and new information can be included in its place. I remember my mother used to have plain white labels on hand, so if something changed, she stuck a label over the old information and wrote the new information on the blank label.

A Rolodex could work too. But then you always have to be sure to have extra blank cards on hand for when they run out. If you use this method, you can certainly use two, one for personal and one for business...or just use one and stick a gold star (or some type of sticker) in the right hand corner of those cards that are business, versus personal, so they stand out.

That all being said, I still recommend my Easy Organizer because, again, it's multi-purpose, and you can just reprint pages as you need them...one purpose, no limit to the number of pages, and useful forever.

Hope this helps!
