Ask Maria: How Do I Organize Information on My Devices?
A GON READER ASKS...
Hi Maria,
You have great ideas and reminders, always. Thank you!
Some of us need help with organizing phone numbers, TO DO lists, and so forth on
devices. I am 81 and need extra help and tips. Maybe organizing photos on my
iPad and phone. I have the Echo, but need to know about sending lists to mobile
phone.
On another note, I do like to paint nail polish dots on different cords and
chargers, color coordinating them.
Again, thanks so much for your great tips!

RESPONSE FROM MARIA GRACIA
Hi James,
I'm so glad you're enjoying the organizing information I am providing. Thanks
so much for letting me know.
Here are a few tips I thought of, after reading your note:
1) Organizing Phone Numbers: First off, work on deleting any contacts on
your phone who you no longer call...and zap duplicates while you're at it. If
you prefer not to do this manually, there are apps out there to handle this task
automatically, such as one called 'Cleanup Duplicate Contacts.'
When entering new contacts, always include both first name and last name, phone
number(s), and any other contact information you have. If it's a 'family entry,'
I prefer to put one person in at a time. For example, for my sister's family, I
have separate entries for my sister, my sister's husband, and my niece...they
all have different phone numbers. Reason being, when I'm in my car using
Bluetooth hands-free, I can say, 'Call Jude' or 'Call Ed' or 'Call Mary' easily
and in one step.
When I'm entering a company name, like the YMCA, I simply label that entry as
YMCA in the company field...and when I call using my car's Bluetooth, I can say,
'Call YMCA.'
Your phone contacts should be automatically listed alphabetically, and you
should be able to search on practically any criteria (first name, last name,
company, etc.) when needed.
As a final note, be sure your phone is automatically backing up to The Cloud
in case of data crash, phone loss, or other emergency.
2) Organizing TO DOs: For TO DO lists, I use a phone APP called
Paperless. I use it for my TO DOs, as well as grocery lists, clothing sizes,
restaurants in certain towns...any list you would typically make on paper. There
are also similiar types of other TO DO list apps out there that people rave
about, like Do!, Wunderlist, Remember the Milk, and tons
more.
This all being said, I use the phone app mostly when I'm out and about. At home
and work, I'm still a huge proponent of old fashioned 'paper' TO DO lists. I
created one, with all my daily and weekly TO DOs on my computer, print it out,
keep it on my desk, and check each item off one by one. If it needs adjustments,
I simply open the file, make the adjustments, and print off a new one. I have
check boxes next to each item for each day of the week, so I print a new one
once a week.
3) Organizing Photos on iPad and iPhone: Personally, I am not one to keep
photos on my devices. For photos I want to keep, I have them wirelessly backing
up to iCloud. I then, take the photo files I want to keep, and upload
them to a service called Smugmug. In doing so, I can then share them with
family and friends, and back them up as well. I then delete all photos from my
devices that same day.
4) Sending lists from your Echo. I do not own an Echo. From what I've
read online, you should be able to ask Alexa, 'What's on my Shopping
List', for example, and the Echo should send your shopping list to you in an
email.
For TO DO lists, it is my understanding that many Echo users actually use third-
party TO DO lists (like Any.do, AnyList and Cozi) with their Echo device.
Hope this helps a bit!
