Ask Maria: How Do I Organize My Time and Catch Up?

Hi Maria,

Thank you so much for switching to this daily newsletter format. I love it! I'm overflowing with new ideas, and have implemented tons. My surroundings feel so organized already...and I've only been a subscriber for about two months. Seriously, the best organizing newsletter out there!

My question has to do with organizing my time...and never being able to catch up. I'm always behind on laundry (I'm looking at about 4 loads right now), I pay my bills at the last possible minute (I haven't gone to online bill paying), I'm forever asking for extensions on my work projects...

I know you can't answer this barrage of questions in a few semtences, but what are your initial thoughts?

Hi Jen, I'm really happy you're enjoying my newsletter. That is music to my ears! I appreciate you saying so!

Here are my initial thoughts on the situations you mentioned:

1) Laundry: You're probably not running enough wash/dry cycles in any given day. How many you run is going to depend on the number of people living in your house, and how active they are (active people who exercise tend to accumulate more laundry than those who don't). Even though it is only me, my husband, and my daughter contributing to the laundry sorter, since my daughter and I are very active with fitness and sports, I have to run one complete washer and dryer cycle every single day...and two cycles on the days when I wash towels or sheets. If running a cycle a day is too much for you to keep up with and you can afford it, many laundromats allow you to drop your clothes off, an attendant washes and dries them for you, and you pick them up.

2) Bill Paying: Begin converting from the old-fashioned bill paying method to online bill paying. You can either set up automatic payments, or you can just pay online, one-by-one, as they come in, if you feel better about doing that. Trust me, it's much less time-consuming to pay your bills online. To make life easier for you, begin switching over just one bill per week, from offline payments to online payments, until you're exclusively paying online.

3) Extensions on Work Projects: You're likely a) being given (or giving yourself) unrealistic deadlines for the projects at hand, b) starting projects too late for the time they require, c) have too many projects you're trying to juggle, or d) not working on each project in the most efficient manner. Here are some possible solutions you can consider:

a) Whatever deadline you think you can get it done by, try padding that deadline by 5 days.

b) Most people way under-estimate the time it takes to finish something. Start your projects much earlier than you think you need to.

c) If you have too many projects, you may need to delegate to others if possible...to someone in your office or possibly outsource some work.

d) To help yourself streamline projects, time yourself so you can determine how long a particular project takes. Then, try to beat that time on your next similar project by automating, cutting unnecessary steps, delegating pieces so two people are working on the project at the same time, etc. Always be open, because there's almost always a better way.
