  Ask Maria

Do you have tips for organizing digital photos that get collected every day?

A GON Reader Asks

Hi Maria,

Can you give some tips to organize digital photos that get collected every day, month, and year?

Maria Gracia responds...

Hi Aruna,

These days, it's so easy and convenient to take photos, but there is a major problem for most people in keeping them organized for years to come.

Here is my system. In general, I'm taking photos with my phone, because it's very convenient to do so. If they are photos I'm only taking to post on social media for fun, and I'm not really interested in saving them after I share them with my social media friends and followers, I delete them after they're posted.

If, however, I wish to save any of the day's photos, at the end of the day, I grab them...from The Cloud. The photos from my Apple phone are being automatically saved to iCloud. I download them from iCloud to my computer, and then re-upload them to a service I use called Smugmug. On that service, I can organize into folders, by title, category and year. It's great and I have years of photos uploaded to it. It's very easy to find what I need...and super easy to share with family and friends as well. (By the way, I'm not getting anything from mentioning this service to you. I just love it and recommend it.)

My photos are categorized on Smugmug first by year, and then by date...each 'album' is clearly and specifically titled for ease in finding a photo later when needed.

The photos on my hard drive are automatically backed up each day with the rest of my computer files. To do this, we use a service called Mozy. In other words, I have three copies of each photo I want to save...one on my hard drive, another on Smugmug, and a third on Mozy. I don't take any chances when it comes to the precious photos I want to save.

For photos on my regular digital camera (not my phone camera), I use a wired connection that connects my camera to my computer. I upload the photos to my hard drive and proceed with the above steps. That being said, some digital cameras, like my daughter's Nikon, will upload directly to an online service without the need for a physical wire transfer.

Once I'm certain the photos are saved in all three places, I then delete them from my camera, phone, and iCloud account and start fresh...this way, I'm not wasting storage space on my phone/camera, or on iCloud (iCloud charges more when their storage space is at capacity.)

Hope this helps a bit.
