How to Catch up with the Backlog of Paper
Is your TO BE FILED pile overflowing? Do you keep adding more and more paperwork
on top, telling yourself that it needs to be dealt with `someday' or 'I really
need to get a better handle on this'?
The problem is, most people get overwhelmed just looking at all the papers,
never mind dealing with them. A large percentage of folks who try to start
tackling this project, get annoyed at the time it's taking or the energy
required to think about it...and push it aside for a task that's easier and can
provide a quicker sense of accomplishment.
Still, we all know that the longer the papers sit there, the more they grow,
which results in a bigger backlog of papers to be weeded out and filed away.
To begin tackling that backlog:
1) Get the task on your schedule: Add an appointment to your calendar for
15 minutes for a specific time each day, and put that appointment on REPEAT
DAILY, so you attend to it every single day. When you're caught up, you can just
delete that recurring appointment.
2) Commit: No excuses when your appointment pops up. The more you're
committed to it, the quicker you'll reach your goal.
3) Recruit help: Can someone else help you with your backlog during your
designated time? Maybe your spouse or older kids would be willing to help you
shred. Remember always shred anything with your personal information on it.
4) Start from the TOP of the pile and work your way down to the
bottom...UNLESS you think there are some bills in that pile. In that case,
quickly sift through your pile, find those bills, and pay them. Then continue
with the rest.
5) Follow the 4 D's of effective paper management. For each sheet of
paper you pick up from your pile, make a decision about it:
A) DO: Do the action required right now IF it will take less than 2 minutes, put
it in your Action Folder to do later today if it requires MORE THAN two minutes
of your time AND it's DUE SOON, or put it in the appropriate month and day of
your Tickler System (explained in
My Oh-S0-Organized Filing System
if it's due a bit down the line.
B) DELEGATE: If someone else is responsible for the action on the paper (like
if you get a bill and your spouse pays the bills) OR if that paper belongs to
another family member (like a sports schedule that belongs to your son), GIVE
that paper to the appropriate person.
C) DELAY: If the paper requires no other action than to be kept for future
reference, file it in your filing cabinet. Check out my resource:

D) DUMP: Recycle any trash, such as promotional material that doesn't interest
you, envelopes, flyers, catalogs, outdated materials, and anything that you
really don't need to hang onto.
Before you know it, that pile will be non-existent.
One other thing, while you're breaking down that pile of paper, don't add new
papers to it. Instead, keep up with your daily mail and other papers coming into
your house...which is not very time-consuming if you handle incoming papers
every single day. It becomes a challenge when it piles up for a few days (or
longer), so don't allow that to happen.
