What is a Realistic Way to Handle an Overstuffed Email Inbox?

Hi Maria,

I have been reading your newsletter for many years and have made much progress in my organizing endeavors. Thank you for all the information you give us. I just read the letter from Kathleen who is going through 31,500+ emails in her inbox. Add 100,000 and you'll see what mine looks like. What is realistically the best way to handle this? Where do I start? I used to file the emails I wanted to keep, but haven't done that for a few years. I don't want to blindly delete any either. The task is too overwhelming. Please help. Thanks!

Hi Faye,

Thank you for your question...and for being a loyal reader for many years. I appreciate you!

Email was never meant to be a 'filing cabinet.' It was a way to communicate with others. So, think of your email in this manner from now on. You send email. You get email. You save any information you feel you need to save somewhere OTHER than your email program. BUT, be very careful about what you're saving because, realistically, MOST information most people save never gets accessed ever again.

If you know, specifically, that there is an important message or two somewhere in your email inbox, use your 'find' or 'search' feature, locate it, and copy/save that information into a computer document. If you can't think of what that important message may be, it likely doesn't exist...or it's no longer important.

Realistically, most information that you need can be easily accessed online or from another person...and it would be much quicker to do this than to sift through a hundred thousand email messages.

If it were me, I would mass delete all messages older than a month, and then just go through the month's worth of email messages that are left over one by one.

Then, your email clutter project will be done. You'll just have to then keep up with it daily.

Hope this helps give you some perspective and a quick way to make this problem go away.
