Two Little Things That Help Me Stay Organized



Very often, it's the little things that make life easier, less stressful, and more organized. Two little things that help me stay organized are simple alarms and timers. Here are three examples of both in action, in my life:

1. I had a virtual parent-teacher conference with my daughter's teacher at 4:00PM this past Tuesday. Not only did I include that appointment in my phone calendar, but I also set two alarms on my cell phone to sound, one at 3:30PM to remind me that the appointment was approaching so I could prepare for the call, and also at 3:57PM to remind me to access the Zoom link for the meeting at that time.

2. A few weeks ago, I was leading an in-person conference that was located 30 minutes away from my home. First thing I did, of course, was get that conference into my phone calendar, and I set a reminder in my cell phone calendar app to pop up two days prior to the conference (because I knew I had to get some slides together), and then again one day prior to the conference to remind me to check that I had all the materials in my tote bag, ready to grab in the morning. The day before the event, I also determined how early I would need to leave, taking into account possible traffic, extra COVID-19 symptom checks at the door, and time required to set up. Once I determined the departure time, I set a phone alarm for 10 minutes prior, giving me time to grab my jacket and fill my water bottle. I arrived at my conference plenty early to set up and present without feeling rushed or stressed...which made my presentation that much better.

3. Have you ever taken way longer to finish a project than you should have because you simply had the time and you chose to meander through it, or even had the luxury of scrolling around on social media during the time you should be working on the project? A proverb, coined by British scholar C. Northcote Parkinson, known as Parkinson's Law, points out that people usually take all the time allotted (and frequently more) to accomplish any task. This is OK now and then, certainly, but if you find this is happening all the time, and your productivity is suffering, set a timer. For instance, if I know I can get something done in 30 minutes or less, I set a timer for 25 minutes and attempt to 'beat the clock.' Knowing that the minutes are counting down deters me from meandering or getting distracted...and I can usually get a half-hour project done in a half-hour, rather than an hour or more.
