Paper Organizing: 2 Steps to Get You Started




While most folks have a pretty good idea of where to store the canned corn, how long to keep milk in the fridge, and that a good spot to hang a coat is the coat closet, when it comes to retaining and organizing paper, it's not always that crystal clear. While there are many aspects of effective paper organizing, here are two steps to get you started.

1) The less you have, the better. I can't emphasize this enough. So if you have a ton of paper to weed out, the best way to begin is with the 'easy,' no-brainer stuff. This might include old schedules, advertising flyers and catalogs, outdated phone lists, junk mail, envelopes for bills that you plan to pay online, old calendars (yes...even those with the cute animal photos), a surplus of take-out menus, notes from school if you have been out of school for years, coupons that have expired or that you'll never use, scraps of wrapping paper, old newspapers, old magazines, receipts for pretty much anything you don't have to return, is no longer under warranty, or that is not needed for tax-time. I could go on and on, but you probably get the idea. If it's pretty clear you don't need it, get rid of it...because it being there is making it more difficult to organize the rest.

2) Sort your papers into 4 piles:

a) Do (Bills to be paid, forms that have to be filled out, papers that need to be signed, mail that has to be read, or anything that requires an action on your part)

b) Delegate (If the paper belongs to someone else, put it in this pile. You'll be delivering the papers in this pile to the appropriate person as applicable)

c) Delay (Anything that has to be filed into your filing cabinet. This should only include papers you're actually going to reference in the future that are NOT easily available online. Be realistic. While it's important to keep paperwork regarding your direct deposit account, it's not necessary to keep a stack of paper listing 'tips for removing laundry stains' which can easily be accessed on the Internet if and when needed.)

d) Dump (And by dump, 99.99% of the time I mean recycle. This should be the BIGGEST pile by far. Most people never need MOST of the paper they have saved.)

Finally, do what you can to stop even more paper from entering your life. Get off of mailing lists, sort through your mail daily, and go paperless whenever you can.
