How Many Tasks Can You Do?
Everyone Has a Personal Threshold



Everyone has a personal threshold of how many tasks he or she can realistically complete each day. The number of tasks you can get done depends on a wide variety of criteria, such as these (just to name a few):

Your schedule (You may be retired, for instance, and have all day to complete your tasks at home. Alternately, you may work at an office 8 hours of the day, and only have evening and weekend hours to get home chores completed)

Your family situation (You may live alone and are responsible only for yourself. Alternately, you may be taking care of an aging parent or are the parent of young kids)

Your health (You may have no health issues and can get things done like the Energizer Bunny. Alternately, you may have chronic pain or other health challenges that greatly limit your energy-levels.)

The types of tasks you're trying to get done (Some tasks can be done very quickly and easily without much mental or physical work. Other tasks may take more brain-power, muscle, time, or all of these.)

You are the only person who can determine how much you can, realistically, get done, according to the types of tasks you have on your list. Be careful about comparing yourself to others because, chances are, your 'picture' is completely different from theirs.

Here's an easy 1-2-3 system that everyone can use.

1. Come up with a Master List. This is essentially a laundry list of EVERYTHING you don't want to forget to get done.

2. Add 4 tasks from your Master List to your TO DO TODAY list. Choose 4 items from your Master List and transfer them to this list. (Note: They should then be crossed off your Master List since they are in-progress.) These are your tasks for today.

3. Each day, work on getting your TO DO TODAY items done. Work on one at a time, and don't move on until the first one is completed. Then, move on to task 2, then 3, then 4.

Don't put another item on this list until all 4 are completed. If you don't finish one or more of the four, those tasks should be moved to tomorrow's TO DO Today list...and completed then. On the other hand, if you finish all of them, move 4 more tasks from your Master List to your TO DO Today list and work on those.

This system will help ensure you're getting your tasks started and completed, no matter what your personal threshold may be.

Now, I will warn you about something because this is a big mistake people often make...

A task is small...something you can get done fairly quick in one or two easy steps.

Dust bookcase.
Sort mail.

A project is much bigger. It's a 'series' of tasks. For instance, maybe you have to research a new computer. That may take several tasks like searching the Internet for possible brands, determining what criteria you want your new computer to include, checking with friends to see what they're using, going to the store and comparing prices, etc.

You should not have 'projects' on your TO DO Today list. Projects should be broken down into tasks...and the individual tasks of a project can then be included on your TO DO Today list.

So, if you already have 3 tasks on your TO DO Today list, you can then add (for instance) 1 more task...and that one more can be 'one task' of your 'many tasks' project.

Using the 1-2-3 system for getting things done, and keeping the difference between tasks and projects in mind as you're creating your Master List and TO DO Today list, will help you be productive, no matter what your personal threshold may be.
