Ask Maria: Managing Papers and Notes

I volunteer for a few organizations and always have projects to work on, mostly on the computer, but also requiring paper. Some of those projects rely on input from other people, so I can't just complete it and be done with it. Do you have tips on how to manage the papers and notes? Sometimes it's out of sight, out of mind.

Hi Linda,

Thank you for asking. I volunteer for several organizations as well. When it comes to papers requiring input from other people, it's not only the papers and notes...but also reminders so you can follow up with others to get what you need.

What I suggest is a 3-ring binder. Fill it with 3-hole punched pocket folders. Label each pocket folder with the organization name. Place your papers in those folders.

If you have a TO DO that you have to do, or someone you need to follow up with, get those tasks into your planner. If you use a paper planner, set yourself a reminder to check it daily. If you use a phone calendar, set a digital reminder (or two) to sound. This way, you will remember to do the task or follow up as needed.

If you're leading the volunteer effort and that effort requires a number of different responsibilities, you may need a binder specifically for that one volunteer effort. For instance, I volunteer for the local educational foundation in my town. I have one binder for that organization, and folders entitled 'Newsletter,' 'Web Site,' 'Fundraising,' etc. I use removable labels so I can change the folder names as desired.

Something else you may wish to do is insert a sheet protector into your binder so it's the first thing you see when you open it. On a sheet of paper, list all of your TO DOs for that organization and insert that page into the sheet protector.
