  Organizing Thought of the Day

Always Feeling Rushed? Here's Help!

I was talking to my friend, Cami, the other day who was so frustrated with herself. She had an 11:00 a.m. hair appointment, a few days ago, to get her hair cut, colored, and styled (and an eyebrow wax)...and that appointment was scheduled a few month's in advance.

Cami woke up the morning of her appointment and decided to do some house chores since she had a few hours before she had to meet with the hair stylist. She dusted and vacuumed, paid a few bills, and left her house for the appointment 10 minutes before it was scheduled.

It takes 10 minutes to get to the hair dresser from Cami's house.

When she got in her car, Cami realized the gas tank was nearly on empty and she was concerned that if she didn't get gas, that she would run out. So, she rushed to the gas station to get that task handled. When she arrived at the gas station, it was pretty crowded and she had to wait her turn behind three other cars.

When she finally arrived at her hair stylist, she was nearly 20 minutes late, frazzled, and apologetic.

The hair stylist was understanding, but told Cami that she would only be able to handle the color and style...but not the cut or wax...because another person had an appointment directly after Cami's and there wouldn't be enough time.

Cami was upset with herself because now she'd have to make an additional appointment for the cut and wax...and would have to come back. Plus, because her stylist's schedule is so jam-packed, it would be two weeks before she could fit Cami in to do so.

Cami then told me that this isn't the first time this has happened. She said she's always rushing around...and can never seem to be on time for anything.

For instance, she revealed that she had to get a report done at work on Monday before she left her office for the day...and was in a panic at 5:00 p.m. because her boss was waiting for the report and Cami was rushing to finish it.

Just when she was about to hand it to him, she realized that she made a mistake that needed to be fixed and that doing so would take at least another 30 minutes. Her boss wasn't pleased. Cami finished the report at 5:30 p.m., but not without a lot of stress. She had a headache the entire evening afterwards, and a pit in her stomach because she knew getting that report done late reflected poorly on her boss.

Being rushed is pretty common for many people. It essentially happens because we are running late. And when anyone is running late, it's nearly always because of ineffective planning...and usually trying to pack too many things into not enough time.

Here are four strategies for calmly handling whatever you have to do without feeling rushed:

1) Don't schedule 'to the minute.' I can't emphasize this enough. If it's going to take you 10 minutes to get somewhere, don't leave 10 minutes beforehand. There are too many things that can go wrong. There could be an accident on the road. There may be traffic. Maybe you don't have fuel in your car and you'll have to stop for gas. Give yourself plenty of time and arrive early.

2) Stop doing 'just one more thing.' Very often, folks will say to themselves, 'well, I still have 15 minutes before I have to leave. Maybe I'll do just one more thing.' The problem with that is, most people are not great time estimators. Whatever TO DO that you think is going to take 5 minutes, may actually take 10, 15, or more minutes. Because Bob, an associate of mine, felt he had time to make a last minute phone call before he left his office to meet me, he was 10 minutes late for our time management appointment. We both had to smile at the irony of this when he arrived.

3) Don't wait to begin. If you have a full week to work on a project and your deadline to get it done is Saturday, and it's a pretty important project, don't wait until Friday to start it...even if you feel it's only going to take a day to get it done. You may feel ill on Friday. Or perhaps the materials you need for the project will be out of stock when you stop at the store. Or maybe the project will be more challenging than you originally thought. The earlier you start, the more time you'll have if (when) things go wrong. But by starting early, the chances are much greater that you'll get it done, without feeling rushed, and without stress.

4) Don't depend on your internal clock. Use timers, reminders, and alarms. Enough said.
