Where Should I Keep (and Should I Keep) This Type of Paperwork?


A GON Reader Asked:

I continue to do something almost every day towards my goal of 'transforming my paper mountain into an actionable system', using the foundation of your organizing approach.

Would you have thoughts on what to do with retirement papers that might, or might not, be needed in the future?

And, being exceptionally involved yourself, where should I keep paperwork related to 'bigger' personal projects, including some that are on hold? Some examples are class-related, in-progress 'homework' (for occasional classes I take), hobbies (learning to use my fancy new Sony mirrorless), creating a blog if I ever try that again, and the multitudes of notes with stuff I've half-written, ideas for essays, etc., in case I ever do those things! Keep them in an 'ideas' section using a thick Pendaflex?

I actually use digital and The Cloud a lot. But, as you know, times are challenging as we all continue to have 'some' paper to deal with. By the way, I'm trying out a new kind of hybrid notebook/digital thingie.

Hi Arlene,

Good to hear from you. It sounds like you're making lots of progress. That is excellent news.

Retirement Papers

Any retirement papers with your account number, how much you are currently (or will be) receiving, how to access your funds, etc. are important documents. If you can access these documents online easily (and easily is the key word here), then you don't have to keep duplicates. But if you can't, I would keep those papers in a retirement folder for reference.

Paperwork/Notes Related to Bigger Personal Projects

Digital Notes and Paperwork

For paperwork related to bigger personal projects, I opt to do whatever I can do on my computer so I don't have mounds of paper to deal with. For instance, I'm taking an online class right now. I'm taking notes on my computer (in Word) as I'm watching the class, simultaneously, instead of writing out notes by hand. During this time, I generally have my computer monitor screen split in two. This way, I can see the class and my notes at the same time. I end up with one Word file for each class I'm taking and these are stored in a folder called 'Education-Classes' on my computer.

If I take notes by hand, or receive paperwork, like if I'm at a seminar, I scan those notes when I come home, and save them in a Word file as well.

My ideas? Again, I have a computer file with ideas...and I just open it when I need it.

Paper Notes and Paperwork

If you prefer, you can keep writing out your notes with pen and paper. I'd suggest writing them out on loose leaf paper (bring a batch tucked into a clipboard for classes, meetings, etc.). When you're home, insert those pages into a 3-ring binder (separated with clearly labeled tab dividers so you can easily find them).

Your new digital noteboook

Regarding your new digital hybrid notebook, I have a question. Are you talking about a notebook that you can 'write' in with a stylus and then convert to digital? If so, then you don't really have to use paper at all.

One extra note about an online software I use

Now, if the subject isn't so involved and you're hoping for a way to store and find simple notes, I recommend an online software called Evernote. It's great for this purpose!
