Be More Organized with Phone Conversations
|
When we're reading something, it's easy to go back and reference whatever it
is...we return to the book, magazine, report, or web site, and re-read it
again. But when we're talking on the phone, that's another story. Most of
what we hear is now depending on how well we're listening and how well we're
able to retain that information. Here are a few ways to be more organized with
phone conversations and ensure you don't forget important details that were
discussed.
1) Keep a pad and pen available. When you're talking to someone, have a
pad of paper and a pen available to use.
You'll be able to jot down notes, which means you won't have to waste time
later trying to remember important things that were discussed. If you still use
a land line, place a pad of paper and a pen near each phone. If you use your
cell phone, have these available in your purse or briefcase so you can easily
access them when needed.
When you're listening to your phone messages, having paper and pen nearby gives
you the tools you need to write down the person's name, number, and any
relevant notes. Saving messages and listening to them again later is not only a
waste of time, but also may result in you forgetting the voicemail is there
waiting for your attention.
2) Record your thoughts. Whenever you think of something you wish to
tell someone later, write down your thoughts. When you're talking with the
person later, just reference your notes and you won't forget what you wanted to
say or ask. My sister lives in another state. I always have a whole list of
items written down that I reference when we call each other. If I have to
call a doctor or my accountant, all of my questions are listed on paper so I
can ask each one, one by one. I can then easily take notes as I'm getting
my answers.
3) Transfer any information as needed. When each phone call is complete,
I take the time to transfer any information. For instance, if I made an
appointment, that immediately gets entered into my calendar. If I have a
TO DO that now needs to be accomplished, I get that task onto my TO DO list.
If I received a phone number or address, that information gets entered into
my phone contact list.
Using the above ideas, every phone conversation is productive...and almost
never requires a call-back from something that was forgotten. I don't like
depending on my brain alone. I have a pretty good memory, but I'm not taking
any chances. Having that paper and pen has been a lifesavor on a number of
occasions.
